How to Use the Slide Sorter View in PowerPoint

You’ve created all the slides in your long presentation in PowerPoint and now you discover you need to change their order. No problem. The Slide Sorter view makes it easy to reorder your slides simply by dragging and dropping the slides. You can also group the slides into sections and reorder the sections and the slides within each section as well.

Arranging slides into sections is useful if the presentation is going to be worked on or presented by multiple people. You can move the slides each person is going to write or present into a section for each person. Sections in PowerPoint are also useful for outlining the topics in your presentation as you’re creating it.

We will show you how to access and use the Slide Sorter view to reorder your slides and how to arrange your slides into groups.

Go to the View Tab on the Ribbon

To begin, open your PowerPoint presentation. All the slides in your presentation are listed as thumbnails on the left side of the PowerPoint window. You can drag the slides up and down in this list to reorder them, but, if you have a long presentation,  it’s easier to use the Slide Sorter to reorder them. To access the Slide Sorter view, click the View tab.

 On the View tab, click the Slide Sorter button in the Presentation Views section.

 Another way to access the Slide Sorter view is to click the Slide Sorter button on the Task Bar on the bottom-right corner of the PowerPoint window.

Drag Your Slides to Reorganize Them

Your slides are displayed as a series thumbnails going across the PowerPoint window. Each of the slides has a number under the bottom-left corner of the slide to show which order they're in. To reorder your slides, simply click on a slide and drag and drop it into a new location in the sequence. You can drag and drop the slides as much as you’d like to achieve the perfect order for your presentation.

If you have different people creating or presenting different parts of the presentation, or if you have different topics within your presentation, you can organize your presentation into sections using the Slide Sorter. Grouping your slides into sections is like using folders to organize your files in File Explorer. To create a section, right-click between the two slides where you want to split the presentation, and select Add Section from the popup menu. For example, we split our set of six slides into two sections of three slides. Each section starts on a new line in the Slide Sorter view. You can create as many sections as you like.

Rename a Section

The first section is initially titled “Default Section” and the remaining sections are titled “Untitled Section”. However, you can assign a more meaningful name to each section. To rename a section, right-click on the section’s name in the Slide Sorter view and select Rename Section from the popup menu.

On the Rename Section dialog box, enter a name in the Section name box and click Rename or press Enter. Do the same thing for other sections you created.

You can also move entire sections up or down. To do this, right-click on the section name and select either Move Section Up or Move Section Down. Notice that if it’s the first section, the Move Section Up option is grayed out and not available. If you right-click on the last section, the Move Section Down option is grayed out.

Return to the Normal View

Once you’ve finished reordering your slides and creating and arranging your sections, click the Normal button in the Presentation Views section of the View tab.

Your slides are displayed in the new order in the list of thumbnails on the left side of the PowerPoint window. If you added sections, you’ll see your section headings, as well. The Slide Sorter view makes arranging your presentation so much easier.
