How to Set up Address Book Groups in Gmail

Make Gmail Lists to Easily Email Multiple People at Once

If you find yourself sending emails to the same groups of people over and over again, you can stop typing out all of their email address. Instead, make a group contact so that all the email addresses can be grouped together and emailed with ease.

Once you get the email group created, instead of typing just a single email address when writing mail, start typing the name of the group. Gmail will suggest the group; click it to auto-populate the To field with all the email addresses from the group.

How to Make a New Gmail Group

  1. Open Google Contacts.
  2. Put a check in the box next to each contact you want in the group. Use the Most Contacted section to find all the people you normally email.
  3. With the contacts still selected, click the Groups button at the top of the screen. Its picture is three stick people.
  4. In that drop-down menu, either select an existing group or click Create new to put these contacts into their own list.
  5. Name the group in the New group prompt.
  6. Click OK to save the email group. The group should appear on the left side of the screen, under the "My Contacts" area.

Create an Empty Group

You can build an empty group too, which is useful if you want to add the contacts later or quickly add new email addresses that don't yet contact:

  1. From the left side of Google Contacts, click New Group.
  2. Name the group and click OK.

How to Add Members to a Group

To add new contacts to a list, access the group from the left side menu and then click the Add to "​button.

If you find that the wrong email address is being used for a specific contact, just remove the contact from the group (see how to do that below) and then re-add it with this button, typing the right email address.

You can also use the More button to import contacts in bulk from backup files like CSVs.

How to Delete Members From a Gmail Group

Important: Follow these steps exactly as they're written because if you use the More button instead, and choose to delete the contacts, they'll be removed from your contacts altogether and not just from this group.

  1. Choose the group from the menu on the left of Google Contacts.
  2. Select one or more contacts you want to edit by putting a check in the corresponding box.
  3. Click the Groups button.
  4. Locate the group you want the contacts to be removed from and then click the check in the box to toggle it off.
  5. Click Apply from that drop-down menu.
  6. The contacts should immediately be removed from the list and Gmail should give you a small notification at the top of the screen that confirms it.
